Central Oklahoma NAWBO – Board of Directors Responsibilities
New Board is elected in June and installed in service in July.
President – ACTING President, then becomes Past President
Acts as the principal officer of NAWBO Central Oklahoma and serves as spokesperson. Sets the agenda for meetings of the NAWBO Board and runs the meetings. Presides at all meetings of NAWBO (If absent, Pres-Elect presides). Monitors Board activities and directs Board members. Signs all contracts on behalf of NAWBO except as otherwise provided in the policies and procedures of the association. Attends regional, state and national NAWBO meetings when possible. Appoints special committees except the Nominating Committee. Represents NAWBO at local business functions and in the media. Serves as ex-officio member of all committees except the Nominating Committee.
VICE PRESIDENT (PRESIDENT ELECT) – BECOMES THE NEXT PRESIDENT AND THEN PAST PRESIDENT
Stands in for President when necessary. Attends (if possible) NAWBO National Conference and specifically the incoming Presidents meetings. Coordinates the submission of new Board information to National. Takes on the one-of-a-kind jobs that arise that don’t fall into any other category. Holds strategic planning meeting with incoming Board. Supports needs of President
Past President
Supports the President in every way. Chooses the Nominating Committee and organizes the nomination and election of the incoming Officers and Board. Takes Ensures continuity of NAWBO National and Central Oklahoma standards.
Secretary – 1-2 year term
Takes minutes at Board meetings and distributes minutes to Board. Assists President with business meeting agenda. Does all general correspondence for Board. Monitors and manages email accounts. Cordinates with Communicatoins Director and Events Planning Director, makes necessary name-tags for guests and speakers.
Treasurer – 1-2 year term
Prepares financials for monthly Board meetings. (Balance Sheet-Profit & Loss-Check Register). Counts and deposits all monies collected from events and monthly meetings and provides written record of monies collected to the board. Pays bills and all reimbursements. Checks the mail at least once a week. Collects checks and new membership applications, completes form from Nationals and forwards to them. Gives a copy of the application to the Chairs of Membership and Communications. Balances the monthly bank statement. Prepares yearly budget and enters into QuickBooks.
Communications DIRECTOR – 1-2 year term
Oversees Communications Committee. Maintains and updates email list, and sends out email announcements about monthly National and local chapter events. Updates website, online event calendar, social networks and press releases about chapter events, news, public policy and general online communications. (Position requires technology, social media and computer knowledge, or willingness to learn skills.)
Corporate SPONSORSHIP DIRECTOR – 1-2 year term
Oversees Corporate Relationships Committee. Establishes and maintains relationships with all corporate partners. Organizes corporate partner contracts, ensures they are up to date and that their sponsorship dollars are accounted for. Seeks out new corporate partners via networking and soliciting. Coordinates with corporations and Communications Director to update corporate info including logos. Works with signs partner to create banners and signs for NAWBO functions.
Membership DIRECTOR(S) Recruitment & Retention – 1-2 year term
Oversees Membership Committee. Welcomes New Members. Keeps the membership roster up-to-date. Contacts members one month before their membership is due to expire. Follows up with members concerning renewal if membership expires. Keeps copies of new members’ applications. Sends “thanks for joining/how can we help/join a committee” notes to new members via email or phone. Coordinates membership orientation and retention and manages membership table at events.
Sends “thank you for attending” notes to guests and makes follow-up calls. Sets up and Runs a membership registration table at all regular meetings. Has membership packets available at each meeting and special events. Gives money/checks with completed meeting summary sheet and lists of who paid to Treasurer for deposit. Assists in marketing and recruiting for NAWBO membership at trade shows and other local events. Contacts local colleges on student membership opportunities. Organizes yearly membership drive to coincide with Nationals (January – March)
Programs & Events Director – 1-2 year term
Keeps track of all RSVP’s and communicates numbers to the Board and meeting facility. Responds to all queries on meetings and communicates any concerns with the Board. Prints flyers and short agendas for meetings. Follows-up with speakers to confirm attendance, length of speech and any special needs. Creates meeting announcement (with speaker photo) and sends to Communication Director. Coordinates meeting numbers and advises facility. Introduces speaker at meetings. Plans and organizes the Holiday Gala.
Education & Public Policy Director – 1 year term
Submits educational program ideas to the board. Plans and coordinates two to three special educational events during the NAWBO year. Attends (when possible) National Public Policy events. Reads National and State Public Policy updates and communicates the information to the Board and Communications Director.
